1. Purpose

This policy sets out how long Seen CRM keeps customer data and how it is deleted.

2. Scope

This policy applies to all customer data stored on the platform.

3. Policy

  1. Active accounts. Customer data is kept for as long as the customer's account is active.
  2. Data export. Customers can export their data at any time. Export files are available for a limited period and then deleted.
  3. Account closure. When an account is closed, its data is deleted or anonymised within a reasonable period, except where the law requires records to be kept.
  4. Connected mailboxes. When a customer disconnects a mailbox, its stored sign-in credentials are deleted immediately.
  5. Audit records. Activity records within a customer's workspace are kept for 12 months.
  6. Backups. Deleted data may remain in backups for up to 7 days before it is permanently removed.
  7. Personal data requests. Requests to access, correct or delete personal data are handled in accordance with the Personal Data Protection Law.

4. Responsibilities

Management sets retention periods. Customers decide what data they store and when to export or delete it.

5. Exceptions

Data may be kept longer only where required by law or by a court or authority.

6. Review

This policy is reviewed at least once a year.

This policy describes Seen CRM's security practices and does not form part of any contract. If it conflicts with the Terms of Service or a signed agreement, the Terms of Service or the signed agreement prevail. Seen CRM may update this policy at any time; the version in force is the one published at seencrm.com.
